Aloysius made a start with Cash & Card, then gradually added modules till they completed their ProActive package. Now they use our purchase-to-pay solution, manage their decentralised cash in ProActive and also settle their expense claims in our system.
Since 2003, Claus Hotel & Event Center was working on a plan for going digital with their invoice processing. Digital invoicing is faster and better, and time is money. Now that the entire process runs digitally, the head of Financial Administration has less to monitor and much more time for other things.
Although the time it took to process invoices was a thorny issue, CSG Liudger was not convinced of the advantages that would come with the Purchase to Pay software. After an in-house consultation, they chose ProActive because it was easy to use. Now they work at one half FTE less and that is not the only positive result they have experienced.
Processing decentralised funds was a thorn in the side of the administration at Koraal Group. At the living facilities, employees were losing a lot of time making accounts of expenses in the financial system. Now that they work with Proactive, the employees no longer need to do as much work and the number of errors has dropped.
The automation of secondary processes is a topic of increasingly frequent discussion in education, because it can result in substantial profit in this field. This was the case at ROC Nova College, where they processed 15,000 purchase invoices annually. Since the switch to automatic invoice processing, they process 90% of their invoices digitally.
Processing the cash books was a significant effort for administrators at the Salvation Army. They wanted a specific package with which paymasters and on-site employees without previous accounting knowledge could work, too. Now that they work digitally, their cash flow has been simplified and the administrators are under far less strain.
Syncasso’s goal was to automate manual actions. This way they would be able to accelerate the process time of their purchase invoices. The Finance & Control manager says that they have exceeded their goal. “The processing time has decreased a lot and on top of that we see how long it takes for managers to approve orders.”
At UNICEF, incoming invoices were physically sent by the organisation itself. Multiple people often had to approve one invoice. Despite the fact that all budget holders occupied the same building, there were still quite a few problems. “One of the biggest advantages is that we can now see who has signed which invoices.”
For many organisations, the time it takes to process invoices is often reason enough to switch over to digital invoice processing. In some cases, knowing the status of the invoice is more important. This was the case at the Utrecht City Theatre. Now that the process runs digitally, they can look up all their invoices in a matter of seconds.
“Our variety of locations required a complex invoice processing procedure. The results were excessive processing times and reminder notices that the school directors could not make heads or tails of,” says Barend. Now that they work with ProActive, the processing times have been cut in half and the reminder notices are no longer necessary.
